Position Function:

Responsible for providing clerical and administrative support to Home Loans Division (HLD), Commercial Real Estate Lending Division (CRELD), and Properties departments.

Performs all duties and interacts with internal and external customers in a manner that is expressly aligned with the Company’s Core Values of approaching all actions with a “Voyaging Spirit” and being “Positively Ohana”. Primary Accountabilities:

  • Operations Support
  • Setup new hires and exiting employees.
  • Tracks incoming HLD loan files from neighbor islands and submits for processing.
  • Semi-annually researches staff, brokers, appraisers, and escrow companies in 2 US government websites to verify employee clearance.
  • Supports managers in approving and tracking employee hours; overtime, vacation, and sick leave.
  • Obtains additional information, as needed, to complete reports, correspondences or special management communications.
  • Greets visitors to HLD area.

Administrative Support

  • Performs regular office duties, including but not limited to, ordering supplies, scheduling appointments and projects, maintaining files, distributing mail and reserving conference rooms/equipment.
  • Maintains and orders office supplies and equipment.
  • Coordinates staff events and communications and other special projects, as needed.
  • Documents and updates procedures manual for the position.
  • Assists with processing new and exiting employees.
  • Maintains staff directories, floor plans, emergency contacts, etc.
  • Processes and submits reimbursements for CPB Expense Report and Monthly Expense Report Corporate Credit Card.
  • Provides and manages travel arrangements for employees (neighbor island and mainland travel).
  • Prepares agenda and records minutes for management meetings.

Reception Support

  • Answers telephones and greets/screens visitors.
  • Receives and signs for incoming packages; delivers to appropriate staff or location.
  • Validates parking tickets for visitors.

Minimum Qualifications:

Education:

  • High School Diploma or GED equivalent required.

Experience:

  • 3+ years of administrative support required. (A bachelor’s degree can substitute for 2 years of work experience.)

Physical Requirements & Working Conditions:

  • Must be able to perform light physical work and to move or lift items including but not limited to boxes, files and papers up to 20 pounds unless otherwise as indicated.
  • Must be able to operate and proficiently use standard office equipment, including phone, copier, personal computer and/or other work related mechanical or electronic devices and applications.
  • Must be able to clearly communicate verbally and in writing with all internal and external customers. Must also be able to hear sufficiently to engage in daily discussions and interactions.
  • Must be able to read and understand bank-related documents.
  • Must be able to work in a conventional office setting, involving sitting at a desk or workstation for long periods of time. Must also be able to adapt to different work environments as needed to perform the job.
