Description:
The University of North Texas (UNT) System is seeking a Senior Administrative Specialist to provide comprehensive administrative support to the College of Science Advising Center and the Sr. Assistant Dean of Academic Affairs. This role ensures smooth front desk operations, manages schedules, prepares and distributes meeting agendas, monitors financial accounts, processes curriculum changes, and coordinates special events. The Specialist contributes to a productive office environment, trains and supervises part-time staff, and assists with a range of administrative and operational tasks.
Position Overview:
The Senior Administrative Specialist will support both the day-to-day operations of the College of Science Advising Center and leadership staff, including the Sr. Assistant Dean. Key duties include data entry, record keeping, office supply management, scanning and imaging, website maintenance, preparation of reports, coordinating meetings, and managing correspondence. The role also involves overseeing purchases, travel arrangements, and budget tracking.
Minimum Qualifications:
- Bachelor’s degree and one year of office administration or business management experience, or equivalent combination of education and experience
- Exceptional customer service skills
- Advanced Microsoft Office skills, particularly Word and Excel
- Knowledge of accounting/budgeting procedures
- Ability to manage multiple tasks under pressure and coordinate the work of others
- Strong organizational skills, including complex record keeping and reporting
- Supervisory skills and the ability to maintain a productive office environment
Preferred Qualifications:
- Experience managing financial aspects of grants and projects
- Proficiency with Microsoft Office, Zoom, and Teams
- Experience organizing events and meetings
- Strong interpersonal and professional communication skills
- Ability to maintain accurate financial records and manage funding from multiple sources
- Website maintenance proficiency
Job Duties:
- Perform administrative tasks including data entry, scanning, imaging, and handling correspondence
- Organize regular meetings and special events, coordinate logistics, prepare and distribute materials, and take notes
- Manage forms related to hiring, leaves, payments, and termination of staff, student workers, and hourly workers
- Monitor financial accounts, manage unit purchases, track budgets, and prepare travel approvals and reimbursements
- Oversee applications for undergraduate research awards and student scholarship program financial paperwork
- Process curriculum changes and maintain Curriculog workflows, coordinate with the Registrar’s Office
- Manage office inventory, record keeping, and time entry
- Lead front office operations including answering calls and emails, greeting visitors, managing calendars, and maintaining sensitive files
- Provide administrative support to leadership, assist in maintaining office climate, and ensure optimal workflow
- Interact with faculty, deans, and administrators diplomatically
- Select, train, and supervise part-time office personnel
