BirdLife International, the global partnership dedicated to conserving birds and biodiversity worldwide, is seeking a friendly and organized Part-Time Office Assistant to support the Office Manager at the Friends of BirdLife New York office. This role provides essential administrative support and helps ensure smooth office operations in a small, dynamic team environment.
The position is part-time, 7 hours per week (Thursdays in-person), on an open-ended contract. Employees will receive 15 business days of vacation (pro-rated) plus recognized federal holidays.
How You Will Do This:
- Prepare receipts and acknowledgements for donors.
- Collect mail from the office mailbox and handle incoming correspondence.
- Scan documents and maintain organized filing systems.
- Process bank deposits.
- Assist with in-office and off-site programs.
- Enter donations into accounting software and CRM systems.
- Proofread external communications.
- Support external mailings and other administrative tasks as required.
What We Are Looking For:
- Confidence in data entry, word processing, and general administrative tasks; finance experience is a plus.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks and deadlines.
- Excellent interpersonal skills, friendly and diplomatic, capable of building relationships at all levels.
- Clear and professional communication skills, both written and verbal.
- IT literate and comfortable using Microsoft Office, video conferencing tools, and online systems.
- A proactive team player who can stay calm under changing conditions and improve office processes.
- Trustworthy, careful, and responsible when handling sensitive information and data.
