The Executive Administrative Assistant will provide high-level administrative and operational support to Executive Directors within the Division of Enrollment Services. This position is designed for a detail-oriented professional who can manage executive workflows, maintain strict confidentiality, and ensure seamless coordination of day-to-day leadership activities. The role is ideal for someone who thrives in a structured yet dynamic higher education environment.
Primary responsibilities include delivering comprehensive executive support to the Assistant Vice Provost/Dean of Admission and the Executive Director of Student Financial Services. Duties involve managing schedules, coordinating meetings, preparing official correspondence, drafting documents, and safeguarding confidential information. You will act as a trusted administrative partner, ensuring executives remain organized and focused on strategic priorities.
Calendar management is a core function of this role. You will coordinate appointments, manage scheduling conflicts, prioritize urgent and sensitive matters, and maintain an efficient daily workflow for leadership. Additional support will also be extended to the Executive Directors of the University Registrar and International Services as required.
The role includes preparing and editing emails, reports, memos, and other professional communications on behalf of executives. You will also handle accounting-related tasks such as preparing and submitting expense reports, tracking documentation, and assisting with financial administrative processes. Accuracy and timeliness are essential in these responsibilities.
Meeting and event coordination is another important aspect of this position. You will organize meetings, distribute reminders, prepare materials, and ensure all logistical arrangements are completed efficiently. The position also involves welcoming visitors, identifying the purpose of their visit, and directing them appropriately, particularly those meeting with Executive Directors.
You will conduct research, respond to detailed inquiries, and follow up on outstanding matters to ensure completion. Strong communication skills are necessary to facilitate collaboration across departments and maintain professional relationships with external community partners. Telephone inquiries must be handled courteously and directed accurately.
Candidates must hold a Bachelor’s degree and possess at least three years of experience supporting executive-level leaders, preferably within higher education. The ideal applicant demonstrates exceptional organizational abilities, strong attention to detail, independent work capability, and excellent written and verbal communication skills. Advanced proficiency in Microsoft Outlook and strong skills in Word, Excel, and PowerPoint are required.
This opportunity offers a pay rate of $25.00 per hour, paid weekly. The schedule is Monday through Friday, totaling 37.5 hours per week, with working hours from 8:30 AM to 5:00 PM, including a 60-minute lunch break. The assignment is expected to begin as soon as possible and will run approximately 30 to 45 days. The work location is Dallas, Texas 75205.
