Pay Range: $21-$23 per hour
Job Purpose: Perform varied collection clerical duties in support of office processes and procedures
Duties and Responsibilities
- Responsible for communicating with customers on open credit issues
- Responsible for documenting customer related communications in the company’s internal customer service system
- Review account receivables aging schedule for collections purposes
- Responds promptly to customer inquiries for information and documentation requests on their accounts
- Responsible for direct communication with various department managers on an as needed basis regarding past due customers
- Responsible for preparing the accounts receivable aging schedule and assign accounts to each collector
- Responsible for sending accounts to letter and legal collections
- Responsible for processing credit card transactions as needed
- Other responsibilities include: preparing collections letters and aging reports, researching rebate checks and preparation, generation, and review of various internal reports
- Prepare debit and credit memos as required
- Account reconciliations prepared on a monthly basis
- Assist in training new Accounts Receivable Collections Clerks
- Coordinate Certificate of Insurance with customers and Safety Director
- Prepare allowance for doubtful accounts
- The position requires accuracy, persistence and attention to details
- Route data entry as needed
- Prepare daily deposit as needed
- Email daily deposit checks to internal departments and other divisions as needed
- Cover the front desk breaks and lunch, as needed
- Perform front desk receptionist duties, as needed
- Perform additional administrative tasks as needed
- Interact with others in a professional and ethical manner
- Follow department and company procedures
- Keep up regular attendance and punctuality; regular attendance and punctuality are essential for the smooth operation of this company
Position Requirements
Qualifications (KSA, Professional Certifications, Education, Experience, Travel Requirements)
- High school diploma or equivalent
- 5 year of experience in AR Collections
- Ability to type and 10-key by touch
- Ability to follow oral and written directions and procedures to complete assigned tasks
- Ability to utilize problem-solving techniques and to demonstrate analytical skills
- Ability to investigate and document customer issues
- Possess excellent communication skills
- Proficiency with Word, Excel, Outlook (or similar e-mail software application).
- Strong phone skills with customer service focus
- Ability to perform multiple tasks and work well with others
- Less than 5% travel requirement
Physical Demands/Requirements
Constantly (over 2/3):
- Operates computer and other office productivity machinery such as calculator, copy machine and printer
- Remain in a stationary position for 50% or more of the time
- Review documents, organizes data and detects accuracy of information
- Works in busy open office area with constant interruptions with need to refocus quickly
- Frequently (1/3-2/3)
- Moves throughout office and multiple floors accessing and moving files, office machinery, etc.
- Communicates with co-workers and exchanges accurate information in-person, telephonically and via electronic devices/e-mail
- Occasionally (under 1/3)
- Moves materials or documents up to 25 lbs.
