ABM Industries is currently hiring a highly organized and detail-focused Administrative Assistant to support the Regional Engineering team based in Plano, Texas. This role plays an essential part in maintaining operational efficiency and regulatory compliance across assigned properties within the region. The successful candidate will help streamline administrative processes, maintain documentation accuracy, and ensure engineering and property management teams are fully supported in their day-to-day activities.

This position requires excellent coordination skills, the ability to manage multiple systems, and strong collaboration with internal teams and external vendors. The Administrative Assistant will contribute to smooth building operations by overseeing work order systems, supporting preventative maintenance tracking, and ensuring documentation remains audit-ready at all times.

Compensation for this opportunity is $28.75 per hour. Final compensation may vary depending on the applicant’s experience, skill level, qualifications, geographic considerations, and alignment with current market data.

Responsibilities:

  • Provide comprehensive administrative assistance to Engineering and Property Management teams, including scheduling meetings, preparing meeting summaries, entering data, formatting reports, and communicating with tenants as needed.
  • Gain proficiency in specialized platforms such as PRISM, PMWeb, and Salesforce to assist with work order management, preventative maintenance tracking, inspection coordination, and project documentation.
  • Support account setup processes, maintain accurate equipment records, and manage compliance documentation to ensure readiness for audits and internal reviews.
  • Coordinate vendor scheduling, manage property access arrangements, and maintain organized digital property folders across shared platforms.
  • Assist in monitoring fire-life-safety and code compliance initiatives by scheduling inspections, tracking open deficiencies, and maintaining detailed records.
  • Generate operational reports, organize compliance-related schedules, and participate in team calls to provide updates and status reports.
  • Maintain and update Standard Operating Procedures (SOPs) to ensure engineering and operational processes remain consistent and accessible.
  • Support special projects, including system migrations and documentation updates, while ensuring proper version control and file structure integrity.
  • Deliver high-level customer service and collaborate closely with property and engineering teams to ensure efficient and seamless operations.
