Description:
San José State University is seeking an Administrative Analyst Specialist to provide technical accounting, analytical, and administrative support for the Occupational Therapy Master’s and Doctoral programs. Reporting to the Director of Resources and Operations, this role requires a detail-oriented professional capable of handling financial, HR, and operational tasks of moderate complexity.
Key Responsibilities:
- Budget and Finance: Manage department accounts and funds, process transfers and payments, prepare budget and salary projections, and generate routine financial reports.
- Scheduling: Build and publish course and room schedules, including summer and intersession periods, while monitoring enrollments.
- HR and Payroll: Support recruitment, appointments, evaluations, and payroll reconciliation; maintain personnel records.
- Purchasing and Travel: Coordinate requisitions, reimbursements, and vendor/procurement requests.
- Reporting and Compliance: Maintain accurate records and dashboards, ensuring adherence to university policies and deadlines.
- Operations and Coordination: Provide administrative support to the Chair, streamline processes, and train faculty/staff on financial, HR, and scheduling systems.
Knowledge, Skills & Abilities:
- Professional and respectful communication with all constituents.
- Thorough knowledge of office procedures, business writing, and grammar.
- Ability to compose and format correspondence and reports accurately.
- Independent decision-making and sound judgment.
- Proficiency in word processing, spreadsheets, and database management.

Required Qualifications:
- Bachelor’s degree or equivalent training.
- Administrative experience involving analysis, study, or evaluation to improve policies, procedures, practices, or programs.
Preferred Qualifications:
- Two years of related work experience involving monitoring and coordination of administrative work.
- Some office coordination experience.
Compensation:
- Classification: Administrative Analyst Specialist – Nonexempt
- Anticipated Hiring Range: $6,000/month – $6,584/month
- CSU Salary Range: $3,879/month – $7,488/month
- Comprehensive benefits package typically worth 30–35% of base salary.
