Position Summary:
The Accounting Specialist will assist the Controller with entering and reconciling accounting transactions. This role involves processing accounting data, completing various tasks, and ensuring accounts payable and job costs are accurate and up to date.
Essential Functions:

- Process weekly payroll and payments for payroll taxes, including 401k contributions
- Prepare and distribute weekly certified payroll reports and monthly manning reports
- Reconcile all credit card transactions/statements and post vendor invoices
- Reconcile vendor POs and manage lien waivers for vendor signature and payment
- Monitor invoices and follow up with project management on payable status changes
- Compile tax exemption forms (ST13) and provide to vendors as needed
- Maintain updated vendor records: W9, Certificates of Insurance, Business Registrations
- Set up contracts within the accounting system
- Prepare and deliver AIA invoices (SOV)
- Post cash receipts of AR payments in the accounting system
- Update weekly payables/receivables on cashflow forecasts
- Compile and distribute weekly union benefit reports to third-party administrators
Competencies:
- Minimum 3+ years of experience in accounting, payroll, AR, and AP
- Associate’s degree in Accounting, Finance, or related field (Bachelor’s preferred)
- Prior experience with Foundation Software is required; training provided
- Proficient in accounting software, spreadsheets, and databases
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to handle confidential information with integrity
- Ability to prioritize projects and meet deadlines
- Knowledge of accounting principles (GAAP), payroll, and financial reporting
- A valid notary license is required or must be obtained (fees covered by the company)
Supervisory:
This position has no supervisory responsibilities.
Work Environment:
Operates in a professional office setting using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Travel:
May require light travel.
