Description:
Digital Turbine is seeking a Workplace Specialist to join our New York office and support our Global Workplace Operations team. This role ensures a smooth, engaging, and well-managed office environment while supporting events, staff needs, and organizational activities. The position is hybrid, requiring onsite presence at least four days per week for up to 20 hours, with flexibility during 8am–6pm office hours.
The Workplace Specialist will serve as a key liaison with vendors, manage facility operations, and assist leadership with administrative support, while fostering a positive and productive work environment.
Key Responsibilities:
- Manage relationships with external vendors and service providers, including food & beverage, property management, security, utilities, and health & safety consultants
- Monitor and respond promptly to facility issues and requests via JIRA
- Maintain cleanliness, organization, and functionality of common office areas such as kitchens, lounges, and meeting rooms
- Coordinate office shipping and receiving, including tracking and receiving deliveries
- Support employee onboarding and offboarding processes onsite
- Manage office access and security for new hires, departing employees, and visitors
- Assist Workplace and Leadership teams with meetings, travel arrangements, and accommodations
- Organize office events, including team-building activities, staff meetings, and meals
- Oversee budget management and reconcile invoices for workplace operations
- Communicate effectively with site leadership and teams regarding office updates and initiatives
- Provide executive assistance, including calendar management, scheduling, and travel coordination as needed
About You:
- Prior experience as an office manager or executive assistant, preferably in a fast-paced environment
- Strong ability to prioritize, multitask, and manage time effectively
- Excellent interpersonal skills and ability to build relationships across all levels of the organization
- Proactive, solutions-oriented mindset with a growth-focused attitude
- Strong problem-solving abilities and excellent verbal and written communication skills
- Energetic, approachable, and adaptable personality
