JOB SUMMARY
The Bookkeeping/Project Coordinator will provide essential support for internal project coordination and bookkeeping tasks. This role is responsible for day-to-day bookkeeping using QuickBooks Online, maintaining organized financial records, supporting reporting, and coordinating administrative and project-related activities for executives. Success in this role relies on strong organizational skills, attention to detail, ability to work independently, and adaptability in a fast-paced, remote environment.
Additional responsibilities include following standard working hours, meeting deadlines, adhering to company policies, communicating with supervisors, staying focused on assigned tasks, and completing other duties as assigned.
Responsibilities
- Perform daily bookkeeping using QuickBooks Online, including data entry, transaction categorization, and reconciliations
- Assist executives with tracking and documentation
- Maintain organized financial records and supporting documentation
- Coordinate internal projects and administrative tasks, tracking deadlines and action items
- Serve as a point of contact for internal requests related to bookkeeping and project coordination
- Assist with scheduling meetings, maintaining calendars, and organizing documentation
- Support process improvement efforts as requested
- Perform general administrative and coordination tasks as needed
Qualifications
Basic:
- High School Diploma or equivalent
- Hands-on experience with QuickBooks Online (required)
- 3–5 years of experience in bookkeeping, accounting support, administrative, or coordination roles
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace
- Strong organizational skills with high attention to detail
- Ability to manage multiple priorities and meet deadlines
- Self-starter with the ability to work independently and as part of a team
- Strong written and verbal communication skills
Preferred:
- Associate’s or Bachelor’s degree in Accounting, Business, Finance, or related field
- Prior experience as an executive assistant or office manager role
- Exposure to basic accounting principles and financial reporting
- Experience supporting internal projects or cross-functional teams
