Description:
Texas State University is seeking a dedicated Payroll Services Admin to provide administrative and clerical support within the Office of Payroll & Tax Compliance. The role, classified as Administrative Assistant II, offers a permanent full-time position and plays a key part in ensuring smooth operational and customer service processes within the department.

Job Duties:

Customer Service Support

  • Serve as the first point of contact for the department by welcoming visitors, answering incoming calls, and responding to payroll inquiries.
  • Assist employees by researching and resolving payroll and tax-related questions.
  • Manage incoming and outgoing mail, ensuring timely distribution and delivery.
  • Facilitate employee access to the Customer Service area, providing support with the SAP Portal, DailyPay, and Sprintax platforms.
  • Assist employees with SAP Portal (pay statements and direct deposit), DailyPay (EWA program), and/or Sprintax (tax determination system).

Operational Support

  • Function as the department’s Time Administrator, overseeing timekeeping processes and ensuring accuracy.
  • Review and monitor departmental budget reports to support financial oversight.
  • Manage vendor invoices and service contracts for timely processing and compliance.
  • Oversee procurement of office supplies and maintain inventory.
  • Maintain the department’s filing system in compliance with university records retention policies.
  • Track project deadlines, monitor progress, and support departmental initiatives.
  • Ensure proper functioning of office equipment and coordinate maintenance as needed.

Backup Support

  • Serve as a backup for payroll processing to ensure continuity during absences or peak periods.
  • Properly maintain and process payroll records and reports for accounting of salary/wages, deductions, accruals, and other payroll functions.
