Description:
The University of California, San Francisco (UCSF) is seeking a Financial and Administrative Analyst to support the School of Dentistry’s department operations. This role is critical in ensuring smooth financial and administrative management, including producing monthly, quarterly, and annual reports, processing reimbursements, submitting purchase orders through Bearbuy, and managing reconciliations and records. The position also involves preparing invoices, reviewing deficit reports and the general ledger, submitting journal transfers, and pulling data for profit and loss statements.

Administrative responsibilities include scheduling meetings, drafting agendas and minutes, emailing faculty and staff, and assisting in organizing events. The role requires effective collaboration with students, faculty, staff, UCSF central offices, and external vendors while ensuring compliance with UC financial procedures.

Key Responsibilities:

  • Manage account functions, applying knowledge of fiscal policies, systems, and campus-wide accounting principles.
  • Perform administrative duties including scheduling, meeting support, and correspondence.
  • Process purchase orders, reimbursements, and other financial transactions using UCSF systems.
  • Prepare invoices and financial statements, review deficit and ledger reports, and submit journal transfers.
  • Collect and organize data for profit and loss statements.
  • Assist in department events and communicate important updates to staff and faculty.
  • Collaborate effectively with stakeholders across multiple levels to ensure compliance and efficiency.

Required Qualifications:

  • Bachelor’s degree or equivalent experience/training.
  • 1-3 years of relevant work experience.
  • Knowledge of financial processes, policies, and procedures.
  • Proficiency in spreadsheets, database software, and Microsoft Excel.
  • Strong analytical, organizational, and communication skills.
  • Ability to multi-task in a fast-paced environment and work effectively as part of a team.
  • Critical thinking, attention to detail, and sound judgment.

Preferred Qualifications:

  • Intermediate understanding of internal control practices to protect University resources.
  • Skills in coaching and mentoring support staff.
